1. Website Content
Nicetrip Travels aims to present accurate and up-to-date information on all destinations, itineraries, and services. Certain descriptions are indicative only, and actual arrangements may differ due to operational or local conditions. The material provided on this website serves as general information and should not be considered professional advice. We reserve the right to revise or update content without prior notice.
2. Bookings & Payments
All tour and airfare prices depend on live availability and may change without notice, particularly for special or limited airline fare classes. A booking is officially confirmed only after Nicetrip Travels receives the required deposit and issues the formal confirmation documents.
We provide a 3-Instalment Payment Plan structured as follows:

If you change your mind within 7 days of booking, you are eligible for a full refund of your initial deposit. After 7 days, our standard terms and conditions will apply.
Some airlines or promotional fares may require an additional or earlier deposit, which will be communicated at the time of quotation. Once processed, arrangements are secured, and bookings cannot be adjusted to claim new promotions or lower prices. Passenger names must match passports exactly, including all middle names, to prevent administrative issues.
3. Accommodation Policy
Tour prices are based on twin-share accommodation standards. If you require single occupancy accommodation, a single supplement fee of $110 per night will apply. Hotels listed in the itinerary are subject to availability and may be substituted with properties of an equal or higher standard due to operational reasons.
4. Photo & Media Consent
During the tour, representatives may take photographs and videos of the group to document the trip. These images may be utilized in marketing materials, our official website, or social media platforms to promote future travel services. If you prefer not to appear in any promotional media, you must notify our office in writing before the tour begins, and your privacy will be respected.
5. Intellectual Property
All itinerary materials, travel documentation, maps, and pricing structures provided by Nicetrip Travels are intended solely for personal, non-commercial use by our clients. Copying, distributing, or repurposing these materials for commercial gain without explicit written consent is strictly prohibited.
6. Liability & Force Majeure
While we strive to provide safe and smooth travel experiences, Nicetrip Travels acts as an intermediary and is not liable for loss, injury, illness, or accidents caused by hotels, airlines, transport companies, or independent service providers. Furthermore, we are not responsible for delays, theft of personal belongings, or changes caused by weather, airline schedule alterations, or natural disasters.
Under force majeure conditions, which include natural disasters, extreme weather, strikes, government actions, or global health emergencies, tours may be modified or cancelled. Any refunds or credits under these circumstances will follow our standard cancellation rules.
2. Privacy Policy
2.1 Manner and Purpose of Collecting Personal Data
Protection of your personal data is a top priority. We collect personal information that is strictly
necessary for handling travel arrangements, reservations, and related services. Typically, this
data is requested when you submit a reservation request, contact us via email or phone, sign up
for our newsletter, or fill out a feedback survey. If you make a booking on behalf of a group or
family, you confirm that you have their explicit permission to provide their details.
2.2 Use and Sharing of Information
Personal data is used strictly for purposes related to the services you request, including flight
bookings, hotel reservations, transfer arrangements, and issuing vouchers or essential
communications. We do not sell or lease your personal information to third parties. Information
is shared minimally and securely only with the necessary partners, such as airlines and hotels,
who are also bound by strict confidentiality obligations.
2.3 Marketing Communications and Opt-Out Rights
We respect your privacy preferences. Promotional or marketing materials are only sent to
individuals who have explicitly opted in to receive our newsletter. You retain the right to
unsubscribe or opt out of these communications at any given time through the link provided in
the emails or by contacting us directly.
2.4 Data Security, Confidentiality, and Retention
We implement robust technical and organizational security measures to protect your data from
unauthorized access, misuse, alteration, or loss. Personal information is stored only for as long
as necessary to complete the requested travel services, or to comply with legal, tax, and
regulatory obligations. Once no longer required, data is securely deleted or fully anonymized.
2.5 Traveler Rights and Consent
By submitting personal data to Nicetrip Travels, you consent to its collection and processing
under this Policy. You retain the right to request access to your data, demand corrections, or ask
for its complete deletion where permitted by law.
3. Cancellation Policy
3.1 Cancellation Fees and Timelines
All cancellation requests must be submitted formally in writing. Charges depend strictly on the
timeframe relative to the departure date. The cancellation fee structure is outlined in the table
below:

3.2 Flexible Cancellation and Cooling-Off Period
Nicetrip Travels offers a 7-day cooling-off period. If you change your mind within 7 days of your
initial booking, you are eligible for a full refund of your initial deposit. After this 7-day window
expires, standard cancellation terms apply, and deposits become non-refundable.
3.3 Refund Processing
Approved refunds are processed within 30 days after your cancellation request has been
officially confirmed by our team. Payments will be returned via the original payment method,
minus any documented non-refundable operational costs.
3.4 Special Circumstances and Agency Cancellations
If you are unable to attend the tour due to a severe illness or medical emergency, you may be
eligible for a free cancellation or a penalty-free transfer to another tour, subject to providing a
valid medical certificate from an authorized body and final agency approval.
If a tour must be canceled by the travel agency due to internal factors, such as failing to meet
the minimum number of participants required for the tour, you will receive a full refund or be
offered a transfer to an alternative itinerary without additional fees.
3.5 Transfer of Booking
Travelers may transfer their booking to another eligible individual without incurring additional
agency charges, provided they notify us in writing at least 7 days before the scheduled
departure date.
3.6 Written Notification Method
To initiate a cancellation or transfer, an explicit email must be sent to
booking@nicetriptravels.com. The message must include the primary traveler full name, the
unique booking number, and the clear reason for the cancellation request.
4. Customer Support and Travel Guidelines
4.1 Flight Information, Ticketing, and Luggage Regulations
Our comprehensive packages include return flights departing from most major airports across
the United States. We arrange the best available options using full-service carriers or low-cost
airlines. Once flight tickets are issued, they become completely non-refundable. Any
subsequent changes are subject to airline restrictions, applicable carrier fees, and a Nicetrip
Travels administrative change fee of $250 per person.
Passenger names provided at booking must match their passports exactly, including all middle
names. Errors resulting in name corrections will incur a minimum $150 name-change fee plus
any additional charges imposed by the airline, or may require purchasing an entirely new ticket.
If a traveler misses or skips a flight segment, they are responsible for all airline penalties and a
$250 ticketing re-issue fee.
Standard luggage allowances generally include up to 20kg of checked baggage and 7kg of
hand luggage, though exact limits depend on specific carrier policies.
4.2 Land Only Packages
Travelers who choose to purchase our “Land Only” packages are entirely responsible for
arranging their own international flights, airport transfers, and timely arrival at the designated
starting hotel of the tour itinerary.
4.3 Physical Fitness Requirements
Our itineraries are designed for travelers with a moderate level of physical fitness. Participants
must be comfortable walking at least 2 kilometers daily at a steady pace, managing uneven
surfaces, and climbing stairs independently without assistance.
4.4 Passports, Visas, and Administrative Compliance
Travelers bear full responsibility for maintaining valid personal documentation. Passports must
possess a minimum validity of 6 months remaining from the scheduled date of return. United
States passport holders entering Japan for tourism purposes are currently exempt from visa
requirements for stays lasting up to 90 days.
4.5 Traveling with Children
Children participating in our tours must be at least 2 years of age and must share room
accommodations with their parents or legal guardians. Child pricing matches adult tour rates.
Please note that specialized child safety seats for tour buses are not provided, and families
must supply their own safety equipment if required.
4.6 Cherry Blossom Season Variability
The blooming period of Japanese cherry blossoms is a natural phenomenon that fluctuates
annually based on climate conditions. Nicetrip Travels cannot guarantee exact blooming dates.
Our spring itineraries focus on the cultural spirit of Hanami, celebrating the transient beauty of
nature regardless of the specific stage of blossom development.
4.7 Cultural Etiquette and Local Conduct Rules
To ensure a respectful and harmonious journey within Japan, all travelers are expected to
adhere to local regulations and social customs:
● Maintain silence and refrain from speaking on mobile phones while traveling on public
transportation.
● Tipping is not customary or expected within Japanese restaurants, taxis, or hotels.
● Smoking is strictly prohibited in public outdoor spaces except within clearly marked,
designated smoking areas.
● Trash separation is legally mandated, and travelers must comply with local recycling and
disposal categories.
● Punctuality is a vital cultural value, and travelers must arrive on time for all scheduled
departures and guide briefings.
